Purpose of this policy
This Privacy Policy explains how BelongBack processes the personal data of people who visit this website, use our services or communicate with us.
BelongBack provides liaison, case-management and follow-up services intended to locate and, where possible, recover lost property from third parties, including airports, airlines, hotels, transport companies, lost property offices, public authorities and logistics operators in Spain and other countries.
What data we process
Depending on the case, we may process the following categories of data:
a) Identification and contact data
Full name, email address, telephone number, country of residence, preferred language and, where applicable, postal address.
b) Case data
Description of the lost item; the date and place of loss; internal or third-party references; flight, booking, stay or journey information; details of the hotel, airport, airline, station or establishment involved; photographs of the item; correspondence; and any other information needed to handle the case.
c) Proof of identity, ownership or authority
Information or documents needed to show that the claimant owns the item or is authorized to act on the owner's behalf. As a general rule, BelongBack will avoid requesting complete copies of identity documents where a less intrusive alternative is available.
d) Payment and billing data
Data needed to collect service fees, issue invoices, process refunds, handle payment issues and comply with accounting, tax and administrative obligations.
e) Technical and browsing data
IP address, technical identifiers, logs, device and browser data, and information about your use of the website when you access it or interact with our forms, systems or communications.
f) Customer service communications
Inquiries, incident reports, complaints, messages and any documentation you send us while we provide the service or during our business relationship.
Data we do not normally request
BelongBack does not generally request special categories of personal data or data concerning criminal convictions and offenses.
Please do not send data concerning health, biometric data, political opinions, religious or philosophical beliefs, trade union membership, sex life or sexual orientation, or criminal offense data unless it is strictly necessary for the specific case and there is a valid legal basis for processing it.
We do not request a complete copy of an identity card, NIE or passport by default. We may request identification documents only where strictly necessary to establish identity, ownership, authority or legal standing with a third-party custodian, and we will always seek to minimize the data collected.
How we obtain your data
We process data that:

- are generated during the provision of the service;
- we receive from third parties involved in the case, such as airports, airlines, hotels, transport companies, lost property offices, logistics operators, payment processors or technology service providers;

BelongBack processes your data for the following purposes and on the following legal bases:
a) Handle your request, prepare a quote or respond to pre-contract inquiries

b) Enter into the contract and provide the requested service
Legal basis: performance of a contract.
c) Manage the lost property search and recovery case
This includes reviewing the case, identifying the appropriate channels, contacting third parties, providing the necessary information, following up and informing you of progress or issues.
Legal basis: performance of a contract and, where applicable, taking pre-contractual steps or acting in the client's interest.
d) Manage payments, billing, accounting and regulatory compliance
Legal basis: compliance with legal obligations.
e) Prevent fraud, misuse of the service, identity theft or unfounded claims, and protect the security of the website and our systems

Recipients of the data

- courier, transport, logistics, packaging, customs brokerage or insurance providers, where required for the item's collection, shipment or return;
- financial institutions, payment processors and accounting, tax or legal advisers;
- technology service providers that supply hosting, email, storage, customer support, communications, analytics, security, automation or other tools required to operate the service;
- judges, courts, law enforcement bodies, public administrations or other competent authorities where required by law or necessary to protect legitimate rights and interests.
BelongBack does not sell personal data to third parties.
International data transfers
Given the global nature of the service, some processing or communications may involve international data transfers outside the European Economic Area (EEA).
These transfers may occur in two different scenarios:
a) Transfers involving long-term technology providers or partners

Data retention
